Big Changes in 2024: Canada and the Apostille Convention

As of January 11, 2024, Canada officially joined the Hague Apostille Convention. This means the process for using Canadian documents abroad has become significantly faster for over 120 member countries (including the UK, USA, India, and the Philippines).

  • For Apostille Member Countries:
    You only need two steps: (1) Notarization by our office, and (2) an Apostille certificate from Official Documents Services (ODS) in Ontario or Global Affairs Canada. The embassy step is eliminated.
  • For Non-Member Countries:
    The traditional three-step “Authentication and Legalization” process still applies. After notarization and authentication, the document must still be legalized by the destination country’s embassy or consulate.

Check with the embassy or requesting organization of the destination country. Ask them specifically: "Do you require the original document, or is a notarized certified true copy acceptable?"

You must present an unexpired, government-issued photo ID (such as a Driver’s License or Passport).

Yes. However, Royal Canadian Mounted Police (RCMP) background checks based on fingerprints can usually go directly to the government for an Apostille. Local police checks (from Peel Regional Police, for example) must first be notarized by our office before they can receive an Apostille.

It depends entirely on the receiving country and the specific organization. You must confirm this with them before your appointment. If they require the original to be authenticated, you will not need a certified copy from us; but if it is a private document (like a power of attorney), you will still need our notary seal on the original signature.
